Effective September 4, 2026CivicDesk311 provides a single-tenant citizen request and communication platform to municipal and county governments. This policy explains what we collect on civicdesk311.com and how information is handled inside the portals we operate for our government customers.
Two different roles. On this marketing website, CivicDesk311 decides how your information is used. Inside a town or county portal, the municipality owns the data and decides how it is used — CivicDesk311 processes it on that government's behalf and under its instructions.
1. Information we collect on this website
- Walkthrough and pilot requests. When you submit the request form we collect your name, work email, role, town/city/county, and any optional phone number, population figure, and message you provide.
- Bot protection. We use Cloudflare Turnstile to distinguish people from automated submissions. Cloudflare processes limited technical signals, including your IP address, for this purpose.
- Server logs. Our hosting provider records standard request data such as IP address, user agent, and timestamp for security and reliability.
We do not use advertising cookies or third-party marketing trackers on this website.
2. How we use website information
- To respond to your request and schedule a walkthrough or pilot.
- To send you a confirmation that your request was received.
- To operate, secure, and troubleshoot the website.
We do not sell your information, and we do not rent or trade contact details to third parties or list brokers.
3. Information inside municipal and county portals
When a resident submits a request through a town or county portal, that information — including the request details, any photographs, and the location or address provided — is stored in a database container dedicated to that single jurisdiction. It is not co-mingled with the data of any other CivicDesk311 customer.
The municipality is the owner and controller of that data. Requests to access, correct, or delete information submitted through a government portal should be directed to that government. We assist our customers in responding to such requests.
4. Text messages and email notifications
Residents who provide a mobile number to receive status updates consent to transactional text messages about their own request. Message and data rates may apply. Reply STOP to any message to opt out of further texts, or HELP for assistance. Opting out of texts does not withdraw or cancel a submitted request.
5. Public records
Information submitted to a government agency may constitute a public record under applicable state law and may be subject to disclosure, retention schedules, and audit independently of this policy. CivicDesk311 provides its customers with full database exports so they can meet those obligations.
6. Service providers
We rely on a small number of vendors to operate the service, including Cloudflare (hosting, CDN, and bot protection) and Brevo (transactional email delivery). These providers process information only as needed to deliver their service to us.
7. Security and retention
Each customer runs on an isolated, private database instance with nightly off-site backups. We retain website request submissions only as long as needed for the purpose described above and for our ordinary business records. No system is perfectly secure, but we take reasonable measures appropriate to the sensitivity of the information involved.
8. Children
This website is intended for government staff and adult residents. We do not knowingly collect personal information from children under 13 through this website.
9. Changes to this policy
If this policy changes materially, we will update the effective date above and, where appropriate, notify our government customers directly.
